Why grant writers underprice

The usual mistake is pricing off a number somebody mentioned in a forum, then discovering it does not survive contact with a real week. A proposal that takes thirty hours is only part of the picture. The research before it, the client chasing during it, the applications you scope and decline, and the invoicing afterwards are all unpaid, and they are most of the difference between a rate that works and one that does not.

  • Billable share is the figure that changes everything. Assume you can bill every hour you work and the rate you calculate will be roughly half what you actually need.
  • Business costs belong in the rate rather than in a separate mental category. Software, insurance, professional development and funder databases all come out of what you charge.
  • Proposal hours vary enormously between a two-page letter of inquiry and a federal application, which is why the fee follows the hours rather than the award.
  • The award size is not an input, deliberately. Pricing as a share of the grant is a contingency arrangement funders and professional bodies treat as improper.

How much do freelance grant writers charge?

Rates vary widely by country, experience and the complexity of the application, and anyone quoting a single figure is guessing. What this calculator does instead is show you what your own rate has to be, given the income you want, the hours you can bill and the costs you carry. That number is defensible in a way a copied rate is not.

Should I charge hourly or per proposal?

Most established writers quote a flat fee per proposal, because it is easier for a client to approve and it stops you being penalised for working faster. Work the fee out from your hourly rate and the hours the proposal will take, which is what this calculator does, and keep the hourly figure for open-ended work.

Can I charge a percentage of the grant?

No, and it is worth being firm about this. A fee calculated as a share of an award is a contingency arrangement, and funders and professional associations alike treat it as improper, because grant funds are awarded for a program rather than for the work of asking. It also makes your income depend on a decision you do not control.

What is a realistic billable share?

Most established freelancers land somewhere between 50% and 65% of the hours they work. Research, admin, invoicing, client management and applications you pitch for and do not win all come out of the other half.
